As we continue to grow, we’re looking for an organized, proactive, and detail-oriented Office Manager to join our team and help keep our operations running smoothly.
Job Summary:
As Office Manager, you will be the backbone of our daily operations, ensuring that everything from customer communication to project coordination and office administration runs efficiently. You’ll play a crucial role in supporting our sales and project teams while maintaining an organized and productive work environment.
Key Responsibilities:
✅ Office Administration & Organization:
- Manage daily office operations, ensuring efficiency in workflows and processes.
- Handle incoming calls, emails, and correspondence with clients, vendors, and subcontractors.
- Maintain company records, files, and compliance documents.
✅ Customer & Vendor Relations:
- Serve as the first point of contact for clients, providing exceptional service and professionalism.
- Coordinate schedules, job orders, and material deliveries with vendors and subcontractors.
- Assist with invoicing, payments, and follow-ups on outstanding balances.
✅ Project Coordination Support:
- Track project timelines and communicate status updates to customers and the roofing team.
- Ensure all necessary permits, contracts, and paperwork are properly filed and accessible.
- Assist in managing job orders, work schedules, and team coordination.
✅ HR & Team Support:
- Assist in hiring, onboarding, and training of new employees.
- Manage payroll processing, time tracking, and employee benefits administration.
- Maintain compliance with workplace policies and safety guidelines.
What We’re Looking For:
✔ Proven experience as an Office Manager, Administrative Coordinator, or similar role (5 or more years of experience in construction/roofing is a plus!).
✔ Strong organizational and multitasking skills—ability to handle multiple projects at once.
✔ Excellent communication and customer service skills.
✔ Tech-savvy – Proficient in Microsoft Office, CRM software, and scheduling tools.
✔ Experience with invoicing, payroll, and bookkeeping is a plus.
